We at Fischer & Kerrn [Fischer & Kerrn A/S, Fischer & Kerrn Ltd. and Fischer & Kerrn UK Ltd.] are committed to protecting your privacy. This Private Policy applies to both our website, our consultancy services, our support tools and our Software Products (CONCIERGE BOOKING SOFTWARE, BUSINESSMAIL, and ACTIVESIGNATURE).
The purpose of this Privacy Policy is to provide a description of the types of information we collect on our websites and in our Software Products – and to confirm that Fischer & Kerrn comply with the US-EU Privacy Shield Framework promulgated by the US Department of Commerce.
ACTIVESIGNATURE and the CONCIERGE BOOKING software (“Fischer & Kerrn software”) can be hosted as on-premise solutions. In this case Fischer & Kerrn doesn’t store any data or have access to any sensitive information. All data are stored on the customers own environment. In this case it is enough to enter a simple Non Disclosure Agreement (NDA).
The CONCIERGE BOOKING software can be hosted on Fischer & Kerrn’s Microsoft Azure hosting environment. In this case all data from CONCIERGE BOOKING software is stored in the Azure platform and data is directly accessible by Fischer & Kerrn. We take this responsibility very seriously and we have taken all the necessary steps to ensure that your data is safe.
Microsoft Azure is a cloud platform that enables us to quickly build, deploy and manage services and applications across a global network of Microsoft-managed datacenters. You can learn more about Azure at azure.microsoft.com. Personal data collected by Fischer & Kerrn may be stored and processed in your region, in the United States or in any other country where Microsoft Azure has data centers. Microsoft takes steps to ensure that the data Fischer & Kerrn collect under this privacy policy is processed according to the provisions of this policy and the requirements of applicable law wherever the data is located.

From May 25th 2018 you need to consider how you store and handle personal information from meetings and visitors. Meeting data and visitor information is saved in CONCIERGE BOOKING and on Microsoft Exchange and we recommend that you take the following actions:
- Deletion of meeting data: Data about meetings saved on Microsoft Exchange and in CONCIERGE BOOKING. This kind of data must be deleted no later than 1 year after the meeting have been held. If you are invoicing costs related to the meetings it is important that you do not delete the meeting data before you have done the invoicing. We can help you set up a service that automatically deletes the meeting data in a proper way.
- Storage of visitor information: Persons that have been registered as visitors in CONCIERGE BOOKING can be stored as Microsoft Outlook contacts. According to GDPR information about visitors should not be stored. We have developed a CONCIERGE BOOKING tool that automatically deletes the visitor data in a proper way.
- Visitor accept of personal information: For customers using visitor self-registration we recommend using the accept of terms and conditions feature. Visitors then needs to read and accept your terms and conditions regarding how you manage and store their personal information (usually just name, company and maybe phone number).
